Booking Terms & Conditions

Please read these Terms & Conditions carefully. By booking online, by email, or by signing our booking form, you confirm that you have read, understood, and agreed to the Terms & Conditions outlined below. These Terms & Conditions constitute a legally binding agreement between Wet Rice Travel and the client.

1. Prices

All prices are quoted in US Dollars (USD) unless otherwise stated.
After your booking is confirmed, the tour price may be subject to increase or decrease due to factors beyond our control, such as changes in entrance fees, fuel costs, taxes, accommodation rates, or currency fluctuations. Any increase or decrease will be payable by or refunded to the customer accordingly.

No price increase will be applied within 30 days prior to departure.

2. Booking Confirmation

Bookings can be made via our official website, email, or directly at our office.
All booking requests will be confirmed within 24 hours. If you do not receive a confirmation email, please contact us immediately via phone or WhatsApp.

3. Deposit & Payment Methods

A deposit of 30% of the total tour price is required to secure your booking.
Full payment (100%) is required for flight tickets, train tickets, and hotel bookings once confirmed.

The remaining balance must be paid upon arrival.

4. Accepted Payment Methods

  • Online payment (payment link provided)

  • Bank transfer

  • PayPal / credit card (a 3% transaction fee applies)

  • Cash on arrival (VND, USD, EUR, AUD, CAD)

Credit card payments on arrival are subject to a 3% service fee.

5. Amendments (Changes by Customer)

If you wish to make changes after your booking has been confirmed, we will do our best to accommodate your request. However, changes are subject to availability and may incur additional charges imposed by suppliers.

Please note that changes to airline tickets often result in 100% cancellation fees and rebooking charges.

If original services are unavailable due to full booking, we reserve the right to substitute services of equivalent quality.

6. Cancellation & Refund Policy

Cancellation by Customer

Cancellations are only valid once received in writing via email.

Private Tours

  • 10 days or more before departure: No charge

  • 4–9 days before departure: 20% of tour price

  • Less than 3 days before departure: 100% of tour price

Small Group Tours

  • More than 24 hours before departure: No charge

  • Less than 24 hours before departure: 100% of tour price

Please note:

  • Deposits for accommodation, issued flight/train/bus tickets are non-refundable

  • No refunds for unused services during the tour

    7. Cancellation by Wet Rice Travel

    In cases of force majeure such as natural disasters, political instability, epidemics, or extreme weather conditions, we reserve the right to cancel or modify the tour. In such cases, customers will receive a full refund for unused services.

    We are not responsible for additional expenses such as flights, accommodation, or other services booked independently.

    If cancellation is caused by our fault, 100% of the tour cost will be refunded, including reasonable related expenses.

    8. Responsibility

    Wet Rice Travel shall not be held responsible for delays, itinerary changes, or additional costs caused by force majeure events such as natural disasters, government actions, strikes, riots, or unforeseen circumstances.

    We are not responsible for injuries, losses, or damages caused by actions not related to our services or by the traveler’s failure to follow the agreed itinerary.

    9. Obligations of the Traveler

    Travelers are responsible for ensuring they possess valid passports, visas, and travel documents. Failure to arrive on the confirmed date may result in tour cancellation without refund.

    Travelers must behave respectfully and responsibly. Any damage caused to accommodation or property must be paid directly by the traveler.

    10. Insurance

    Travel insurance is not included. We strongly recommend that all travelers arrange comprehensive travel and health insurance before departure.

    11. Special Requests

    Special requests (dietary requirements, special meals, etc.) must be communicated in writing at the time of booking. While we will do our best to accommodate requests, they are subject to availability and not guaranteed.

    12. Complaints

    If you encounter any issues during your tour, please inform your tour guide or contact us immediately so we can resolve the matter promptly.

    Written complaints must be submitted within 15 days after the tour ends. Complaints received after this period may not be considered.

    13. Children Policy

    • 1–4 years: Free of charge (sharing bed with parents)

    • 5–6 years: 50% of adult price

    • 7–10 years: 75% of adult price

    • 11 years and above: Full adult price
      Child pricing for flights and trains follows airline and railway regulations.

    14. Privacy Policy

    We respect your privacy and are committed to protecting your personal information. Your data will only be used for booking purposes, service improvement, customer support, and legal requirements. Personal data will never be sold to third parties.

    Travelers may be photographed or filmed during tours. We will always request your consent before using any images for promotional purposes.
